CoopPilot delivers automated, secure transactional emails and notifications to keep administrators, members, and auditors informed across all critical operational and legal events.

1. Onboarding & Security Emails​

  • Email & Phone Verification: Automated verification messages sent upon account creation to confirm ownership of contact details.
  • Member Invitations: Official invitation emails sent by cooperative administrators containing single-use onboarding links.
  • Admin Team Invitations: Secure registration links sent to invited board members and administrative officers.
  • Password Reset & Security Alerts: Cryptographically signed notifications for password reset requests, two-factor authentication (2FA) changes, and security events.

2. General Assembly & Democratic Governance Notices​

  • Assembly Invitations: Formal notifications dispatched for scheduled General Assemblies, including meeting agendas, venue/digital link details, and proxy forms.
  • Voting & Polling Reminders: Automated reminders sent prior to voting deadlines to maximize member participation and achieve quorum targets.
  • Minutes of Meeting (Niederschrift) Delivery: Notifications when assembly minutes and official voting resolutions are compiled and published.

3. Financial & Share Capital Notifications​

  • Share Subscription Confirmations: Receipts and confirmation notices sent upon successful share purchase or capital deposit via bank transfer (SEPA) or Stripe.
  • Payment Reminders: Reminders for pending capital deposits or membership fee contributions.
  • Annual Financial Reports & Certificates: Notifications when annual financial summaries, dividend statements, or official Share Certificates (Anteilscheine) are available for download.

4. Compliance & Audit Notifications​

  • KYC Re-Verification Requests: Notifications prompting members to update expired identification documentation to maintain compliance with Anti-Money Laundering (AML) standards.
  • Audit Progress & Discrepancy Alerts: Real-time notifications dispatched to administrators and auditors regarding audit milestones, required file corrections, or discrepancy tickets.

5. Sender Authenticity & Deliverability​

  • Official Sender Address: Transactional emails are dispatched from noreply@coop-pilot.de or your auditing association's verified custom SMTP domain.
  • GDPR Compliance: All communications adhere to strict European data privacy standards, featuring encrypted transmission (TLS) and mandatory imprint data.
